Position Summary:The Events Coordinator at the American University of Iraq, Baghdad, in the Marketing and Communication Department, will be responsible for planning, organizing, and executing a variety of events that promote the university’s mission and brand. This role involves coordinating with internal and external stakeholders, managing event logistics, and ensuring effective communication to enhance the university’s visibility and engagement. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work under tight deadlines.

Job Location: AUIB Campus, Airport Road, Baghdad, Iraq.

Core Areas of Responsibilities

  1. Event Planning and Logistics:
    • Collaborate with the Events Associate Director to plan and coordinate events, including conferences, seminars, workshops, and cultural activities.
    • Assist in developing event concepts, themes, and objectives.
  2. Venue and Resource Management:
    • Secure suitable event venues and coordinate event logistics, including setup, signage, audiovisual equipment, and catering.
    • Manage event resources efficiently and ensure they are available as needed.
  3. Vendor and Contractor Coordination:
    • Liaise with external vendors, suppliers, and contractors to obtain quotes, negotiate contracts, and ensure services are delivered as per agreements.
    • Oversee vendor relationships.
  4. Guest Services:
    • Assist in managing guest lists, registrations, and attendee communications.
    • Provide a high level of service to event attendees, including VIPs, speakers, and participants.
  5. Promotion and Marketing:
    • Collaborate with the Marketing and Communication team to promote events through various channels, including social media, email marketing, and print materials.
  6. Budget Management:
    • Assist in developing event budgets, tracking expenses, and ensuring events stay within budgetary constraints.
    • Prepare financial reports and summaries.
  7. On-Site Event Coordination:
    • Be present during events to ensure smooth operations, troubleshoot issues, and assist attendees.
    • Coordinate event schedules and ensure that programs run as planned.
  8. Post-Event Evaluation:
  9. Collect feedback and data from events to evaluate their success and gather insights for future improvements.
  10. Prepare event evaluation reports.
  11. Compliance and Regulations:
    • Ensure events comply with legal requirements, safety regulations, and university policies.
    • Address any compliance issues as they arise

Education: Bachelor’s degree in event managment,hospitality, communications, marketing or business administration.

Experiance: 1-3 years of relevant experience in event planning, coordination, or management. Experience in marketing, communications, or hospitality is also preferred. Experience in an academic or university setting is a plus.

  • Knowledge: Understanding of event planning principles, marketing strategies, and communication techniques.
  • Skills: Strong organizational and project management skills, excellent written and verbal communication, proficiency in event management software and tools, and adeptness in budget management.
  • Abilities: Ability to multitask and work under tight deadlines, strong attention to detail, capacity to collaborate effectively with diverse teams, and the ability to adapt to changing circumstances and problem-solve effectively.
  • Languages: Fluent in Arabic and English.
  • Flexibility: Able to implement contingency plans during unexpected changes while ensuring the event runs smoothly.
  • Confidentiality: Maintaining confidentiality in all aspects of work is essential.

Availability: Able to work on weekends or after work hours when needed.
