Receptionist: English Language Academy (ELA) and Center for Executive Education and Innovation (CEI)

Immediate Supervisor: Director of the English Language Academy

Position Summary: The receptionist serves as the first point of contact for the English Language Academy (ELA) and the Center for Executive Education and Innovation (CEI), providing excellent customer service and administrative support. This role ensures a welcoming and professional environment for students, faculty, staff, and visitors while managing front desk operations, including greeting guests, handling inquiries, directing calls, and coordinating correspondence.

This position requires strong organizational, multitasking, and interpersonal skills, as well as the ability to handle emergencies and maintain efficient office operations. The ideal candidate will possess a customer service-oriented attitude, professionalism, and adaptability to meet the dynamic needs of the department.

Key Responsibilities

  • Greet and welcome guests, students, faculty, and staff in a professional and friendly manner.
  • Answer, screen, and forward incoming phone calls, providing accurate information.
  • Direct visitors to the appropriate office or contact person.
  • Maintain the reception area in a tidy, organized, and professional manner with necessary materials and stationery.
  • Receive, sort, and distribute mail, packages, and deliveries.
  • Manage office security by adhering to safety procedures and controlling access via the reception desk.
  • Assist in scheduling appointments and coordinating meetings for ELA and CEI staff.
  • Perform administrative and clerical tasks, including filing, photocopying, transcribing, and faxing.
  • Support internal communication by distributing announcements, memos, and updates.
  • Assist with event coordination, student inquiries, and program logistics as needed.
  • Perform additional administrative duties as assigned by the Director of the ELA.

Qualifications & Requirements

  • Bachelor’s degree in any field.
  • Fluency in English (written and spoken); proficiency in additional languages is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Prior experience in reception, customer service, or administrative support is preferred.
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • Professional demeanor with excellent interpersonal and communication skills.
  • Problem-solving mindset with the ability to be proactive and resourceful.
  • Ability to handle confidential information with discretion.
  • Flexibility to work shifts, including occasional evenings and weekends, based on program needs.
